Printing to the right place

Here's a very simple tip that most people find extremely useful.  That's because it's not always readily apparent where you're sending your document when you have multiple printers.

Here's the clue:

If you click on the printer icon on your MS-Office toolbar, it will send your document to the printer that you used most recently in this session – or if you haven't yet printed in the current session, it will send it to your default printer.  However, if you select [File]; then [Print...], you will be able to choose your printer.

The key is the ellipses (the dot-dot-dot).  It says that you will have more choices.  If you don't see the ellipses, it goes straight to the printer.  But you can put that choice right on your toolbar.

First right-click on your toolbar to pop up the context-sensitive menu.  Then select [Customize…].  (See there is an ellipses there, too.)

 

Now, highlight [File] on the left side; then scroll in the right side until you see [Print...].  Notice that there are two options with print – one with the ellipses and one without.  You want the one with it.

Hold down your left mouse button and drag [Print...] to the spot on your tool bar just to the right of the current print button.  Now you have two buttons with the same icon.

Right-click on the button you just added; then select [Image and Text].

Close your 'Customize' dialog box.

Now you have two buttons on your toolbar.  Click the plain icon when you want to print to the default printer or last printer you used in this session.  Click on the one with the [Print...] text when you want to change printers.
