Making it easier to find the RIGHT file
"I know it's here somewhere!" If you've ever uttered these words when looking for a file, you're not alone. Today, we often rely on search tools to find files by keywords; but sometimes you just can't remember the right keywords – so your searches might not find the specific file you need.
Microsoft Word and other Office products allow you to create brief descriptions that pop up when you hover your mouse over the file name in your file lists. So if you want to know what's in that file, you simply move your mouse to get your own description – like this:

To create the description, open your document. Then, click on [File]; then [Properties].

You'll immediately see the dialog box into which you can type your description:

I like to use the [Title] field for the generic name of my column or topic, and the [Subject] field for a description of the specifics.
The author and company automatically get inserted by MS-Office, based on properties already entered when you registered your software. But you can change them both, by overwriting the text with your new text.
If there are keywords that describe the subject, but don't show up in the document, put them into the keywords field. That way, your search software will more easily find the documents you want.
When you're done putting in all the information you need, click [OK]. Don't forget to save your document, because if you don't, these properties will be lost.
Once you enter this information, it helps you in two ways. First, it makes it easier to choose the correct file in Windows Explorer - because you can see the information you just typed.
Second, the keywords and other information in the file properties gets indexed by your desktop search application – whether you use MSN, Google, Yahoo!, Lookout or other package.
